As a recruiter, you might have to put a candidate on hold, reject their profile, or at times, you will have to close the job or even cancel hiring for the job. In all such scenarios, stating a reason for these will be easier for future references.


These will further help you produce more accurate periodic reports on skillate and derive insights from it.


Configure Reasons


To configure reasons On-hold, Rejection, Job Close, Job Cancellation and Position Cancellation - reasons, follow the below steps:


  1. Navigate to Settings > General Configuration > Reasons Configuration.

  2. Go to the required tab and click on Create New.

  3. Add a reason and click on Submit.

  4. These can be edited or deleted anytime from settings.


Note:
You cannot delete a reason if there is a candidate who is already assigned with that particular reason. You will have to remove the respective candidate from that reason or change their status to proceed with deleting the reason.


Users can now DISABLE a rejection reason which is already in use (as the reason cannot be deleted). By doing so, the rejection reason will not be listed to use again.
Managing a reason


On-Hold


When you are in process of hiring, and you have a candidate(s) on a stage. Suppose you have decided to put the candidate on hold for this job, you may click on the Pause button.


For the same,

  1. Navigate to any job.

  2. Go to Candidates and click on a candidate name.

  3. Click on the Pause button and you will get a new pop-up window.

  4. Choose a reason from the drop-down menu. All the reasons which you have configured from the Reason Configuration will be listed here.

  5. If you would like to add a new reason, click on +Create a new reason for on-hold
    Add a title and click on Add.

    These will be further added to the respective reason configuration in settings.

  6. Click on Put on hold to complete the process.


Rejection

When you are in process of hiring, and you have a candidate(s) on a stage. Suppose you have decided to reject the candidate for the job, you may click on the Reject button.


For the same,

  1. Navigate to any job.

  2. Go to Candidates and click on a candidate name.

  3. Click on the Reject button and you will get a new pop-up window.

  1. Choose a reason from the drop-down menu. 
    All the reasons which you have configured from the Reason Configuration will be listed here.

  2. If you would like to add a new reason, click on +Create a new reason for on-hold
    Add a title and click on Add.

  3. Click on Reject to complete the process.


Job Close


Upon completing the hiring process for a job, the job can be closed on Skillate. You can have a reason configured and used while closing a job as well.


For the same,


  1. Navigate to the job and click on more options.

  2. Click on Mark as closed.

  3. You will be prompted on the details of wherever the jobs will be unpublished. 
    Review and click on Yes, close this job.

  4. In the following pop-up window, you can choose a reason for closing this job.

  5. If you would like to add a new reason, click on Add new reason. Add a title and click on Create.

  6. Click on Close this job to finish the process.


Note:
If you have any candidates active for this job, you will be prompted to send an automated email upon job closure.
It is optional and you will not be prompted for the same if there are no active candidates.

You also skip the step or proceed by clicking on Submit.

* The same applies to scenario where you are cancelling a job.



Job Cancellation


At times, you will be canceling on a published job. It could be due to the requirement being already met or the company has decided not to go forward with that particular job.


In either case, you can cancel a job and add a reason from the configured list from Skillate. For the same,


  1. Navigate to the job and click on more options.

  2. Click on Cancel this job.

  3. You will be prompted on the details of wherever the jobs will be unpublished. Review and click on Yes. cancel this job.

  4. In the following pop-up window, you can choose a reason for closing this job.

  5. If you would like to add a new reason, click on Add new reason
    Add a title and click on Create.

  6. Click on Close this job to finish the process.


Position Cancellation


Suppose you want to cancel an open position from a job. In such a scenario, it is better to provide a reason for canceling the position. This can be helpful for future references. For the same,


  1. Navigate to the Position Mapping section for the respective job.

  2. Click on more options.
  3. Click on Cancel to cancel the position for the respective job.
  4. You will be prompted to confirm the action. Click on Yes to continue.
  5. In the following pop-up window, you can choose a reason for closing this job.

  6. If you would like to add a new reason, click on Add new reason
    Add a title and click on Create.

  7. Click on Cancel Position to finish the process.
